Our Services - flexible to meet your needs
FinancialAll account and bookkeeping services, annual tax filing, online unit owners’ dues payment collection (integrated portal with 24/7 access for residents), HOA board quarterly and year-end financial reports, account management for residents (billing, payment processing, statements, collecting dues, etc.), manage association reserve and operating fund accounts, bank account monthly reconciliations, account collections as needed (fees, fines, liens, transfer fees, ect.), coordination with title company and owners for collection of dues at closing of property transfers, produce annual operating, reserve, and CAM budgets for board and/or member approval, income from HOA dues is deposited into association’s account

Administration & GovernanceMaintain unit owner membership records, provide notices and correspondence as needed, prepare and file annual report with Montana Secretary of State, support Architectural/Design Review Committee by documenting and receiving requests, prepare agenda and support materials for annual homeowners association meetings, document minutes from board and annual meetings, meeting attendance at board and annual meeting. (1 annual and 11 monthly meetings included). Maintain insurance files and key documents, Interface with HOA professional service vendors (legal, accounting, etc.), provide board members with workable google documents that they have access to regarding any HOA correspondence, Maintain Covenants, Bylaws, Amendments, and declarations on file, review governing documents with Board yearly, revise/update Operating Rules and Regulations documents in accordance with Board actions, advise Board on structure/implementation/adherence to governing documents, coordinate with Board and legal counsel when updates or revisions are required in accordance with the Montana Unit Ownership Act and/or Montana Nonprofit Corporation Act, maintain and renew appropriate insurance, advise Board on governance practice to ensure compliance with governing documents

Building & GroundskeepingUnit owners can report common area maintenance issues and requests any time via our website or email, 24/7/365 Emergency line, management of property owner issues and/or maintenance requests, vendor bids and management of contracts, coordinate contract renewals with vendors, notifications of compliance or other issues to the Board
